What are Inbound Audits?

Inbound Audits are systematic quality inspections performed during the warehouse receiving process. Using configurable audit models, operators answer supplier-specific questions about incoming shipments—checking packaging condition, product accuracy, documentation completeness, and other quality criteria—before inventory enters the warehouse.

Unlike post-receipt quality holds or random sampling, JASCI's Inbound Audits are integrated directly into the receiving workflow. When an operator begins ASN or PO receiving for a supplier with assigned audit controls, the system automatically prompts the required inspection questions. This ensures 100% audit compliance without creating a separate quality checkpoint.

Key Distinction

Inbound Audits answer "Does this shipment meet our quality standards?" at the point of receipt. Unlike downstream QC processes that inspect inventory already in the warehouse, inbound audits catch supplier issues before defective goods consume storage space, contaminate inventory, or ship to customers.

JASCI's audit system includes a full model builder for creating inspection questionnaires, supplier-level controls for assigning models and configuring audit frequency, severity-based classification for prioritizing issues, and standardized error codes for trend analysis. The result is a supplier quality program that runs automatically within your existing receiving operations.

Why Inbound Audits Matter

Supplier quality issues that slip past receiving become exponentially more expensive to fix. A defective pallet that's putaway, picked, packed, and shipped costs 10x more than one caught at the dock.

Catch Issues Early

Identify damaged goods, wrong items, and documentation gaps before they enter inventory and create downstream problems.

Supplier Accountability

Build data-driven supplier scorecards with consistent, documented quality metrics across all inbound shipments.

Compliance Confidence

Meet customer and regulatory requirements with auditable inspection records and standardized quality processes.

How JASCI Delivers Inbound Audits

Configurable quality controls built into your receiving workflow

Audit Model Builder

Create, modify, and copy audit models from Audit Model Maintenance. Define question types, severity levels, and error codes for each inspection point.

Supplier-Specific Controls

Assign audit models to individual suppliers with customizable frequency rules and severity thresholds based on historical performance.

Question-Based Inspections

Operators receive guided prompts with supplier-specific questions during ASN or PO receiving, ensuring consistent quality checks.

Severity Level Tracking

Classify issues by severity—critical, major, minor—to prioritize responses and track supplier quality trends over time.

Error Code Classification

Standardized error codes enable detailed defect categorization for root cause analysis and supplier scorecarding.

Integrated Receiving Flow

Audits integrate seamlessly into PO and ASN receiving workflows—operators answer questions then continue receiving as normal.

Inbound Audit Workflow

From model creation to receiving-integrated inspections

1

Create Audit Model

Build audit models in Audit Model Maintenance. Define question type, description, severity level, and error codes for each inspection point.

2

Assign to Suppliers

From Supplier Maintenance, use Add Controls to assign audit models. Configure audit frequency and severity rules per supplier.

3

Select Audit Flow

Operator selects the appropriate audit flow—ASN Receiving Audit or PO Receiving Audit—from the mobile scanner.

4

Scan Workbench & Reference

Enter the workbench and scan the ASN or PO number to begin the audit-enabled receiving process.

5

Answer Audit Questions

System prompts operator with supplier-specific questions. Responses are captured with severity and error code classification.

6

Continue Receiving

After answering audit questions, operator continues normal receiving flow. Audit data is captured for reporting and analysis.
